- Entries must have been originally broadcast between Jan. 1 and Dec. 31, 2003.
- Entries will be accepted beginning January 5, 2004, and must be received by February 6th. All entries must be postmarked or the shipping receipt dated prior to that time to be eligible for judging.
- Photography participants may have no more than two entries in each of the following individual categories: Spot News, Deadline Photography, General News, Sports Feature, News Feature, In-Depth/Series, Documentary.
- In the Editing competition, no more than two entries in each of the following categories: Under Deadline, General News, News Feature, Year-ender, Editor's Feature, Sports Editing, Magazine Editing. No re-editing at all.
- In all individual entries 90% of the video must have been photographed by one photographer.
- Some stories might fit in more than one category, but you may only enter it once. Failure to follow the rule will result in the disqualification of the entry.
- Submissions that originate on film or videotape will be accepted. NPPA prefers that entries be in Beta format but entries on DVC or VHS will also be accepted.
- Each entry must be on an individual cassette and each cassette must be submitted in its own container.
- Cassettes containing more than one entry will be disqualified.
- Eliminate any slate or title showing your name, station or city at the beginning of each entry. There should be nothing on the tape but the entry. Failure to do so will disqualify the entry. Deadline photography entries & live shots permit station reference.
- Each tape should be cued so when the play button is depressed the entry material begins. The chairperson will not accept A- and B-roll entries.
- The online entry form must be submitted for each entry. The confirmation page must be printed and signed, and copies firmly attached to the outside of each entry's container and to the cassette itself; if not, the entries will be disqualified.
- Individuals and/or stations submitting more than one entry may ship all entries in one box, provided each entry is separate within the shipment.
- The audio channels must be mixed on the entry tape.
- The chairperson will take every normal precaution in handling the entries but cannot be responsible for non-receipt, damage, or loss. Winners will be notified immediately after the judging in early March.
- Entry tapes will not be returned.
